CRM Architecture
One lead, three tools, and no clear owner.
Decide where information belongs before connecting your systems.

Choose the record that wins
Decide which system owns contact information, job status, and follow-up tasks. When two tools disagree, a defined source of truth prevents circular updates and confusion.
Map a small set of events
Start with lead creation, owner assignment, and a completed handoff. Specify the fields each event needs and how duplicates should be handled. More synchronization is not automatically more useful.
Plan for an incomplete update
Connections can fail or receive incomplete data. Keep an activity log, expose exceptions, and give someone responsibility for reviewing them. A visible failure is easier to resolve than silent data loss.
